If you read the "Red Carpet - a Hollywood Horror Story" on the previous page, you learned is that you cant assume the red carpet can be ignored or will fix its self.   Its the very first impression of an event and often the most long lasting disappointment when time taken for photos are not retrievable.

Therefore we’re providing this information free of charge to give you the best chance of hosting a successful red carpet event. Please note, this is not a complete or one-size-fits-all list, as requirements may vary based on the event and location. Ultimately, the event coordinator or person responsible for the setup must determine the specific needs for a safe and successful event.

PHOTO RELASE SIGN

Although photos taken at your event may fall under photojournalism and freedom of the press for use in news articles or personal social media, they unfortunately are not suitable for commercial use to promote a business or event.

While a physical sign alone may not fully hold up in court, it can serve as a helpful measure to demonstrate that attendees were notified of the possibility. It is recommended to place a sign at each public entrance.

BACKDROP STAND

Avoid using tripod stands designed for photo studios in public or outdoor settings. The thin tripod legs pose a tripping hazard and are intended for controlled environments, not for areas with heavy foot traffic. Additionally, they are not designed to support the substantial weight of large vinyl backdrops.

To ensure the safety of your guests, consider using flat-footed base stands made from steel or thick-walled, non-adjustable aluminum pipes. These options provide greater stability, reduce trip hazards and are better suited for public and outdoor use.

SANDBAGS

Use a minimum of two sandbags per upright backdrop post. Each sandbag should weigh 15 to 20 pounds. For outdoor setups, consider using three or more sandbags per post to ensure stability.

In a pinch, a two 1 gallon bottles of water can be used as a substitute for one sandbag.

GRAFFERS TAPE

Secure carpet edges and electrical wires with gaffers tape to minimize tripping hazards. Ensure the tape is durable and clearly visible to enhance safety for all attendees.

ELECTRICAL EXTENTION CORDS

Unless you are thoroughly familiar with the setup location, including where the backdrop will be placed and the proximity of electrical outlets for lighting, it’s wise to come prepared with several hundred feet of 50 foot, 3-wire extension cords and splitters. This ensures flexibility and prevents last-minute challenges.

POST EVENT PHOTO DISTURBUTION PROCESS

Have a plan for Post-Event Photo Distribution Process that is communicated to the guests, who have taken the time to gather friends and coworkers for the perfect red carpet photo and candid event shots. Ensure you have a streamlined photo distribution system in place that allows them to access and download their photos for printing and social media within hours after the event.  The lack of their ability to get photos is the number one disappointment of participants after the event.
